The Opportunity

Reporting to the IH Marketing Manager within Ortho Clinical Diagnostics, the Tender Office Coordinator is responsible for maintaining a high level of customer satisfaction (both internal and external customers) by developing and delivering high quality proposals to hospital and clinics as well as providing a creative edge to enhance the awareness and value of our products. This includes accountability for responding to customer inquiries and providing insight into market trends from a procurement perspective. The scope of this position includes all lines of business within Ortho Clinical Diagnostics.

The Responsibilities

  • Process all types of proposals (RFQ, RFP, RFI).
  • Perform daily searches of new tenders on Bid sites.
  • Ensure that the tender requirements are met in a compliant manner and final documentation is submitted on time and retained for easy retrieval according to departmental processes.
  • Develop and maintain relationships with external customer purchasing personnel by proactively seeking feedback on current bids, current contracts and customer procurement objectives.
  • Maintain and contribute to the Qvidian database that houses all technical and sales documents, in both English and French.
  • Maintain Proposal wins/losses documentation. Conduct “debriefs“ when appropriate.
  • Innovate and implement contract-related process improvements that will create value for the organization.
  • Administration of contract set up, maintenance and renewals through SAP.
  • Coordinate of mass mail outs (marketing, recalls, product notifications etc.) as needed/required.
  • Build contacts with various international co-workers (France, U.S, Marketing, enGen).
  • Support external website (both Engligh and French sites) with content updates as provided by Marketing department.
  • Translate and proof read documents when appropriate.

  • Bilingual in English and French (both written and spoken)
  • Proficient in Excel, Word (advance certificates an asset, know formulas such as vlookup)
